How much storage do you get in SharePoint?
You may be wondering how the storage quote for SharePoint works. You get one batch of storage allocated to your tenancy as a whole. Any member of staff with a licence can use this. Microsoft generously gives you 1 Terabyte or free storage or 1000 Gigabyte if you are more familiar with that measure. In comparison, you only get 2GB for free in the free version of Dropbox.
Also, you then get some storage based on the number of staff you have. Each person will get 10 Gigabytes of storage. Again this is not restricted to one user but rather is shared between all users. However, this does not mean that everyone can see all the files, only that the storage allocation is shared. Let me offer an example to help:
Example:
Imagine you have ten staff, this is what you would get:
Tenancy: 1000 Gigabytes
10 staff with 10 Gigabytes each: 10 x 10 = 100 gigabytes
Total: 1100 Gigabytes
Imagine Bob and Jane work for SmallArchtects.com and are saving their files into SharePoint. Jane has lots of 3D drawings which use lots of space. Bob uses an online accounting system for his work and only has a few small spreadsheets.
Jane is using 1050 Gigabytes of storage.
Bob is using 1 Gigabyte of storage.
Total usage: 1051 Gigabytes.
SmallArchitects.com still have space free in SharePoint. However, it is close to the limit, and we would advise this company to purchase more storage. The great thing about SharePoint is that you can add more storage as you need.
Furthermore, if you purchase the storage through Northstar every month, and Jane deletes many files she does not need any more, you can reduce the monthly cost.
SharePoint Storage Limits
There are some storage limits to SharePoint, but they are still considerably large:
- You can get up to 25 TB per site. If you have more than one SharePoint site, you can add another 25TB.
- You can have 2 million sites per tenant.
- The maximum file size is 100 GB.
- You can have 30 million files and folders per library.
- Plus, 50,000 major versions and 511 minor versions of a file.
What about my OneDrive storage?
It is also worth noting that OneDrive storage does not count towards your SharePoint limits. Each staff member has 1TB of OneDrive storage, which can be increased to 5TB if required.
What about Microsoft Azure?
If you don’t want to pay for additional storage in SharePoint, you can buy Azure storage. Please see our blog for more details about Azure.
